Roles

The Overflow EXCO has a largely flat hierarchy, meaning that everyone is encouraged to contribute new ideas and work together. The following are the roles in the club, and the responsibilities that come with them. Do not assume that these are the only responsibilities of each role — each role will likely need to take on additional responsibilities as the need arises, particularly if the size of the EXCO is small.

P/VP

  • Supports, strategises, and manages Overflow and how it runs
  • Cares for and manages all departments in Overflow EXCO
  • Assumes the highest level of responsibility in Overflow

Technology

  • Organises and conducts workshops
  • Determines what needs to be requested for workshops and what needs to be done for workshops
  • Provides and sources for tech expertise in Overflow's activities
  • Picks up and shares new technologies as needed

Description

You are expected to be directly involved in the production of all the various events that go on throughout the year, be it the weekly workshops or something as major as the Poly-ITE Olympiad in Informatics.

  • Directly involved in:
  • Workshops (at the set intervals)
  • Biannual bootcamps
  • Major events (i.e., PIOI and ByteHackz)
  • Selection of topics to be covered in weekly workshops during current academic semester

Operations

Secretary-Operations

  • Takes attendance for all Overflow activities
  • Takes minutes during Overflow meetings
  • Manages financial procedures and assets, such as collation of purchase requests, reimbursements and budgeting, and stock-taking of assets (usually done together with tech team for tech-related assets)
  • Takes care of and organises all Overflow documents

Description

You are responsible for communicating with various other departments to help plan and enforce certain operations within events. Managing projects revolving Overflow's day-to-day functions would also require skills such as management of delegating duties, flexibility and conversational skills.

Publicity

  • Maintains and improves Oveflow’s image and outreach
  • Publicises the events and/or activities hosted by Overflow through various channels
  • Encourages the participation of Overflow’s activities
  • Innovates new methods to advertise Overflow (e.g., jackets, name cards, and keychains)
  • Handles publicity-related operations, documents and collateral (e.g., preparation of publicity collateral for events, liaising with vendors of jackets/t-shirts/name cards)
  • Maintains and/or improves Overflow’s social media accounts and website

Description

You are responsible for the management of the club’s social media platforms: Instagram and Discord. Your responsibility also lies in the creation of Instagram post, posters and other physical and virtual contents used for publicizing and advertising the weekly workshops, bootcamps, and other important events such as ByteHackz and PIOI.

You would need to work together with other EXCO members in planning and creation of these publicity materials.
